Photo tour terms and conditions

Payments

You have the choice to either pay the full price or a 20% deposit at the time of booking. If you paid the deposit only, the balance is payable 12 weeks before the tour’s start date. We will send you a reminder for the final payment. If you want to sign up for a tour within 12 weeks of departure, then the full amount will be due at the time of registration. Payment Methods: Payments for workshops, and tutoring sessions by Photo Tours Worldwide LLC are processed online by We Travel and its Credit Card Service. You can also pay by check, bank, or wire transfer (participant is responsible for all transaction fees).

Cancellation of Tours (Overnight Trips)

In the event that you wish to cancel a workshop booking, you must inform us in writing no less than 60 days before the date of the workshop’s commencement. For cancellations made within this time, you will be refunded the workshop fee, less the deposit -all tour deposits are non-refundable. For cancellations made less than 60 days before the workshop commencement date you will be liable for the full workshop fee. We highly recommend that all trip participants purchase travel and trip interruption insurance to cover any non-refundable fees and travel expenses. If you are not present at the time of trip departure, we will try our best to contact you. We cannot offer any refunds for no-shows. Cancellation fees and forfeited deposits are non-transferable to others.

Cancellation of Day Workshops

If you have to cancel your day workshop, please notify us at least 7 days before the workshop’s start. We will refund your payment. We will try our best to accommodate possible date changes.

Tour Cancellation by Photo Tours Worldwide LLC

We reserve the right to cancel any tour due to low participation rates (not meeting the required enrollment as stated on the tour description), tour guide illness, accident or death, and passage of laws, restrictions, or any other action taken by a governmental or public authority. Should this event happen, we will contact you as soon as is reasonably possible. Upon cancellation, we will offer you a full refund of your payment (including deposit) for the tour, or you can transfer any payments already made to an alternative Photo Tours Worldwide tour or workshop. Photo Tours Worldwide LLC is not responsible for your personal travel expenses to the tour departure location or any other expenses incurred in preparing for the trip. It is for this reason and others, we strongly recommend that you purchase quality travel and trip interruption insurance.

Health

It is the responsibility of each tour member to inform the tour operator of any possible health problems or handicaps upon registration. By forwarding a signed reservation form, you certify that you do not knowingly have any physical or other conditions of disability or illness that would create a risk for you or other trip participants. Once a trip has been confirmed, medical circumstances will not be considered as exceptions to our cancellation policy. We assume no responsibility for medical care or for special dietary requirements; although efforts will be made to accommodate special food requests.

Itinerary

While we strive to make the itinerary as accurate as possible, it should be considered as an approximate schedule of activities rather than a rigid schedule of events. Trip itineraries are subject to revision due to weather, road and traffic conditions, fire, flood, industrial disputes, bereavement, government restrictions, and other reasons beyond our control. The tour leader has the right to make changes in the published itinerary whenever in his/her sole judgment conditions warrant, or if he/she deems it necessary for the comfort or safety of the tour. We reserve the right to add any co-leaders or assistants on any tour or workshop.

Animals

Pets and animals are not allowed on our tours or workshops.

Responsibility

Photo Tours Worldwide LLC and their agents act only in the capacity as agents in all matters pertaining to hotel accommodations, sightseeing tours, transportation, and certain meals, and are not responsible for any loss, damage, theft, or injury to person or property resulting from a defect in any vehicle, or the actions of any persons who provide services for this tour or for the action or inaction of any third party. Baggage is at the owner’s risk entirely. Everyone has to be able to carry his or her luggage at all times. The tour operator reserves the right to decline any person as a member of the tour for any cause at any time. We do not tolerate any illegal activities, disrespectfulness to the guides or participating tour members, drunkenness, and drug use. We expect all tour members to act in a polite and law-abiding manner. All prices are based on current rates of exchange and, while every effort will be made to hold them firm, they are subject to change.

All participants are required to submit a signed Participant Liability Waiver (outlining these terms and including and assumption of risk and indemnity agreement) prior to participate in any outing.
